Daytona Dinner and GTG

We are getting closer to Daytona so thought I would revisit the dinner/GTG.

Right now it looks like the plan is to use the meeting room at the Homewood Suites for dinner and our GTG. The hotel is letting us use the room at no cost, however, we cannot bring in our own food.

I think what the best option is as follows...
We can have the hotel cater dinner for those who would like to have it there. And for those who would prefer to eat elsewhere, we can have the dinner "early" (like 6-8pm or so) and then have the "GTG" after so that those who go out to eat can still come and join us for socializing/talks/raffles and whatever other fun stuff we come up with.

For those that would like to join us for dinner at the hotel....we will have to have payment to the hotel 72hrs prior to the event. At the least, I would like to start getting a head count of who is interested in attending. You do not have to confirm yet, but keep in mind that we will be organizing a way to collect the funds for dinner prior to the actual date.
Since this is something that will have to be prepaid, we will not be able to have any late attendees show up and be able to have dinner if not paid in advance. (Unless we are able to work something out to include enough for a few extra dinners and then collect the funds upon arrival for any latecomers)

I think we had decided on the Deli Platter option for dinner at the hotel:
Deli Platter: Assorted Deli Meats and Cheeses served with Breads, Tomatoes, Lettuce, Onions, Condiments, Salad Bar, Chips and Beverages. $11.95++ per person (minimum of 10 people) add soup for $2.00 per person
It seems to be the one that would appeal to the most people and does include a salad bar.

If anyone here knows anyone from any other websites or social groups or friends or whatever who also may be attending Daytona and has not heard about our group rate at the hotel or our plans for dinner/GTG, please pass this info on to them. I am posting on a few other sites with this info and if anyone needs to contact me with any questions they can reach me at [email protected].

And of course, any ideas, suggestions etc are always welcome as we try to make this our best GTG yet.
 
You're such a doll for going to all this effort, Katie. Put me down for two, and I can paypal you, send you a check or whatever you decide works best for you.

I will be there for sure and since I can't bring "prizes" to the get together I can do some sort of auction ahead of time so we can have book a higher head count and have late comers "pay at the door".

And good question... would we be able to bring in drinks/beer to the GTG?

We don't have to have payment to the hotel for the catered dinner until 72hrs prior to the event. I am just trying to get a head start and make sure we have the at least 10 minimum required to have dinner catered by them. I am sure we will easily surpass that, but I am a "paranoid plan ahead" type of person!

I don't think we can bring any in from outside, but they have a little "mini kitchen" near check in that carries food and beverage. I am sure we could get some there. And costs are usually comparable to what you would find at a regular grocery store or what not.

Any of the breeders want to chime in on what we should do at the GTG? Should we have some small, short presentations? Should we do a raffle/auction and raise money for a charity? Who would be in for any snake donations? (I might be able to chip in on that front depending on what I hatch this year). If we do a raffle/auction, any ideas what charity we should donate to?
 
If we do an auction for charity I would put my vote for PIJAC being the cause with all these crazy laws going on. Although a cash bar is always a good thing to have at a charity auction, I wonder if the hotel would work with a company that could provide that. Then again, we may just want to keep it simple for the first time.

I agree. I think we need to see how it goes this year and then expand on it in the years to come.
 
I will be there. Not sure about hubby - he likes to go off with his field herping buddies, and then to the auction at the main hotel.

If we do an auction, maybe some of the proceeds should go to US ARK? They were the ones that organized 50,000 letters to make them go back to rewrite HR 669. Although PIJAC is more established, they have to protect ALL pet industry interests, so their resources are divided amongst all facets. I like the idea of having a rep JUST for the herp industry. Hubby and I are both members, and I am impressed by how much they accomplished for such a young organization.

I like the idea of several short talks instead of 1 or 2 long ones. I am hoping Chuck will get up and talk about new plans for the ACR. Maybe Don S. would talk about some of his new projects? I am sure there must be at least a couple (or more) people on this forum who are working on at least one cool project they would like to talk about and show photos.

That would be fine! If you would like to join us for dinner, they also have a discounted rate for a children at the hotel for the catered dinner.


Kathy - do you talk to Don often? The only time I ever talk to him or see him is at the show. If you do happen to talk to him, maybe you could let him know about the dinner and GTG?
 
I'm in Katie! You can also count me in for a snake donation (or two) for the raffle/auction/what have you, providing things turn out well. :)
 
One other thought, maybe I can also offer a prize up for those who prepay dinner early. "Prepay by X date for a chance to win x prize" and we can just randomly select a winner out of those who reserved early.
