I am expecting the dinner / talks to be on Sat. night, as it has been in the past. Many non-vendors don't even arrive until Sat., so we would lose out on participation by doing it on Fri., in my opinion.

As of right now - dinner is a go for saturday night. I just need to work on fine-tuning the details of times for the meeting room and how we are going to go about letting everyone know and collecting money prior to that night. We have until 72hrs prior to Saturday night to confirm how many will be attending dinner and giving payment to the hotel.

For those who would rather have dinner elsewhere, my suggestion is to have dinner first and then make it "open house" for those who want to come just to socialize, join in on talks, raffles etc...

We have had a few offers for prize donations for raffles so I will be contacting people who have offered a little closer to the show dates to see if they still have anything they are willing to part with. We also still need to decide on a charity to donate any money we raise.

We can book hotel rooms at our rate until August 1st. I can do it for you, or I can direct you to a contact person at the hotel to book directly. They will need a credit card to guarantee the room and you can cancel with no penalty up to 600pm on the day of arrival.

Kathy - that is awesome news about Don! He definately will be a welcome addition. Rob and Louise have joined us the past two years so I would like to think they would again. Rich though might be a tough sell.

I think a "roundtable" type of discussion would be great. Maybe have one of the breeders start off with info about a project or something and then just let it blossom into Q&A for everyone to jump in.
 
Yes, a "roundtable" format could be an easy, no planning way to involve everyone who wants to participate.

I am sure I can come up with a corn snake book and one or two of Bill's posters for a donation.
 
Oh wow, this sounds great! We're still determining if we can make it, because I'm supposed to go to Michigan in early August as well. Two trips in one month might be possible...we'll have to see.
 
FYI - I was just on the National Reptile Breeders Expo website and they still show 12 tables available so if anyone else here was looking at getting a table - better do it soon!

I talked to Vinny last night and we should have the tshirt finalized by the end of next week and hopefully available for purchase the week after.

We still have rooms available at the hotel so if anyone hasn't booked yet - there is still time.

Dinner - looking for suggestions/ideas on how we can "confirm" people for dinner since I will need to receive payment in advance. I know for some that will be no problem - but I have a gut feeling that no matter how many places I post the information, that some people are not going to get back to me and just "show up" expecting to eat with us. I know Carol has graciously volunteered to auction some hatchlings ahead of the show for some extra money so we can pay for a few extra meals for any stragglers - but any other ideas on how we can "confirm" people in advance?

Auction/raffles...which do you think is better and why? How many should we do? Personally, I am leaning towards the raffle idea. I know we have had a few offers of donations for prizes already....
 
Yes, I think the confirming ahead thing is going to end up being a problem for some for the dinner. But I am not sure what to do about it.

We do a raffle at our local herp society meeting. But we always have 2 "cans" to put the tickets in - one for live and one for supplies. That way, nobody gets a live animal if they don't want one. We could go even further and group several things together (similar supplies, or similar animals), each group having its own "can" for people to drop their half of the ticket into. Then the first winner gets their pick of an item from a group of similar items. The 2nd winner gets their pick next, etc, until everything is gone from that group.

Personally, I think the raffle would be a much better idea. That way, even if someone only buys one ticket, they still have a shot at winning.

As far as the dinner goes, why not post a thread for the dinner, and then put the link in your signature? Of course, there will always be a few stragglers. That's inevitable. You could also talk to Rich about posting a banner for it on the top, or even post a link underneath the green contributing link. I'm sure that someone on here can come up with a fun banner to grab people's attention. It can't hurt to ask!

The raffle will be a "buy tickets" kind of thing. I don't think we have decided yet where we are donating the proceeds, but it will be a herp related charity or society.

I think the plan is going to be to have dinner - then start with some Q&A towards some of the bigger breeders (ie you, Connie and Chuck, Kathy, Don etc) and then open it up for a "round table" type of discussion.

Chuck and Connie run a web cam on their eggs - "egg cam" they call it. It is problematical at times. But Chuck is a computer guy. Maybe he would set something up. It would be cool to share this with the "stay at home" crowd!
 
Ok - I just started two new threads. One specifically for anyone still needing help with a hotel room and one to hopefully start confirming people for dinner.

I think this should still be our "discussion" thread though since we have so much info here.

I had thought for dinner payments - to have it sent to my paypal...but I forgot that paypal charges for transactions so I don't think that will work. I can't charge people more than the actual cost for dinner and I cannot make up the difference in paypal charges myself. So I am back to square one for the best way to receive prepayment to confirm our dinner reservations. Any ideas??
