Daytona 2009

Hi Katie,

Hallie is going to share a room with us. So put us down for a 1 bedroom king room. I am putting in the forum because once several people sign up, it will probably encourage others as well. The more, the merrier!

This will be fun!
 
We actually wanted the $89 room with the separate bedroom. We will need it for Thur, Fri, and Sat nights. Can we ask for a non - smoking room, preferably on the first floor? (we have a lot of stuff to bring in and out!)

I can see where this benefits some for the choice of dining locations, but I know some people aren't going to want to be making multiple stops on the evening after the whole day at a show - probably including some of the people vending.

Personally, I think it is easier for everyone to have dinner and GTG at the same location. Especially for those who choose to stay at the hotel as well - then they have dinner, GTG and their room all in one location.

Ya, I'd be afriad we'd "loose" some people that way too.
 
I am trying to think of how we can keep as many options available as possible, to please as many people as possible.

How about if we do the dinner in the hotel meeting room (as we discussed earlier) at a particular time, then have the dessert and coffee an hour (or more) later at a particular time, at which time we would also have our talks / awards / whatever we plan? Then those who want something more than the sandwich / hotel offerings can eat before coming, yet those who want to do everything in one place (and who are fine with the lesser meal options) can do the hotel dinner. I hate to split people up for dinner, but that might be the only way to try to "do it all" and keep most everyone happy. Or not, lol! Whatcha think?

I think that is probably the most logical option. Only thing would be people would have to decide in advance which dinner option they would choose - the hotel or going somewhere on their own. I don't have all the details yet on how the hotel dinner is paid - but usually with events like this - that has to be paid up front and it will only cover those who have requested/paid for it. Meaning - someone couldn't just show up and say they decided to just join us for dinner. Since the meal is ordered and paid per person - it doesn't necessarily mean there is enough for "additional latecomers".

Kathy - if you can also think of any other way to get the word out about our discussions here that would be great. I have posted all the info as I receive it on at least two other forums thus far. But I know there are more people - even here on CS who usually attend Daytona that I haven't seen post in this thread. I would love to get more feedback/options/suggestions from others who will be there so that whatever we finalize can suit the most people as possible.
 
I think a lot of us have websites. If so, we can post a link to this discussion on our sites. I can also mention it at our local herp society. But few, if any, members there are dedicated corn keepers, so that might not help much. If any of us go to any shows before Daytona, we can make up some cheap, colorful fliers to put on our tables. And, of course, we can bump this up every couple of weeks so more people will see it.
 
Well, just let me know what ya'll decide, Kathy, Robbie, Katie. I'll just go with the flow. I'll just be happy being with eveyone I already know and getting to meet some people I've been wanting to meet.

BTW, I will be able to contribute a couple Corns as door prizes as well.

Let me re-phrase my question about the dinner...

The salad bar is specifically listed in just about all the dinner options at the hotel. Is it an unlimited salad bar? Hubby is controlling his diabetes via diet alone, which boils down to extremely limited carbs. He does not eat bread, pasta, potatoes or anything along those lines AT ALL. That means, even all the other options for dinner (Italian, Mom's , ect.) are not a choice for him. If he is limited to just a single salad and what he can pick from the cold cuts and cheeses, he will not be a happy 6'4". 220 lb bear with a gun and police training. If, however, the salad bar is a good one (lots of "stuff" to choose from) and he can visit it as much as he likes, then he will at least be a fairly happy camper for the evening. The kids and I will be very happy with soup and a sandwich.

Depending upon if I get any more snakes to breed this year or not, I may also be able to bring some door prizes.

For those of you who have significant others who are not thrilled about a cornsnake gathering....

I was poking around google and found that there is a Mall and a Hooters within about a half mile of the hotel.

I'm going solo this year but it's good to know if I'm ever able to afford going with the family. Then again, having the gathering at the hotel is very helpful as well. They could just turn in if they got bored or take off with the car.
 
I was very careful not to mention any other forums or provide any links on my KS thread. I just asked people to email me if they are interested in more info. Thought I was following their rules. I don't see it still there, so unless my eyes are even worse than I thought, it has been deleted. I have no idea why. Just the way it is, I guess. Oh well...
 
Seeing others donating snakes, I wanted to help out too, but this would require giving Fed Ex $50 just to get them there. I think it would be more wise just give that cash straight across. So it got me thinking... if we do choose do eat at the hotel I'd like to auction off some snakes here and put that money towards ordering a little bit extra food for last minute people and those with a bigger appitite. If the "cover" charge does end up covering these expenses, than the leftovers can be donated to PIJAC or something along those lines. Either way we will need some "up front" cash over what early payers will pay. If that makes sense. LOL
 
From my contact at the hotel in regards to dinner.

It's not an "all you can eat" per se. I prepare enough to feed the number of people you ask me to plus 3% over in a buffet type setting not plated. However, if you tell me 20 and only 15 show up, you still pay for the 20 that was guaranteed. I do need a guarantee 72 hours prior to the dinner. After rthat you can increase the number within reason, but you cannot decrease.

As far as the kids plate, I can charge $6.95 per child.

As far as the vegetarians, there is a salad bar that comes with the Deli Platter. So even if they do not eat meat, there is a salad bar with assorted condiments and assorted chips with beverages.

Carol - I think that is a fantastic gesture and idea! This would help cover an "extra" meal for anyone with a large appetite or for any latecomers who didn't reserve with us in advance (which we could recoup at the door)
 
Wow, 72 hours notice is great!

I thought so too - that should give us plenty of time to have everyone "confirmed" so to speak as to who is attending the dinner. The next step would be how we go about confirming who is attending and then how we go about collecting the money....

Thankfully we have plenty of time!
